Finance and Administration Consultant

Terms of Reference

  • Position: Finance and Administration Consultant

  • Duration: 12 months

OVERVIEW

SINTAS Indonesia Foundation (SIF), founded by well experienced conservation practitioners who have been dedicating their lifetime professional careers in addressing various major conservation issues. SINTAS, means “survive” and stands for Save the Indonesian Nature and Threatened Species, has been established with the realization that the success of conserving the Indonesia natural resources in the long run can only be achieved through a well-rounded leadership of the Indonesian practitioners. SINTAS believes that through its practical vision and missions, it can promote a sustainable development for both the people and the nature following the CBD’s principle of fair and equitable sharing of benefits. SIF programs are focus on: (1) Ensuring national leadership in conserving the Indonesian natural resources; (2) put in place sound science interventions to ensure effective natural resources management, and; (3) To establishment of effective stakeholders’ partnership to ensure comprehensive sustainable development.

Currently, the SIF Program focuses on site-level conservation in Aceh, West Sumatra, and Java Island, with a projected development cross-provincial and island levels. At naional level, SIF supports the national government in protected area management, species conservation, law enforcement, and education as well as community empowerment.

In order to strengthen our conservation program, SIF seeks a passionate and dedicated young professional to serve as a Finance and Admin Consultant (FAC). The FAC is obliged to put in place his/her duties and responsibilities within the organization as highest priorities to avoid conflicts of interest. The Finance and Administration Assistant will provide essential support to the Finance and Administration department in the day-to-day operations of the organization

SCOPE OF WORK:

The main task and responsibility of Finance and Admin Consultant is to ensure that all administrative and financial activities at field are documented and carried out in accordance with appropriateness standards and generally accepted rules as well as SINTAS internal rules. The scope of this Agreement is:

  • Coordination: Responsible for SIF work programs and their supporting activities, both ongoing and in the planning stages, to ensure that all coordination components of the activities including but not limited to SINTAS internal resources, work partners, and relevant stakeholders are integrated and coordinated efficiently and effectively.
  • The Finance and Admin Consultant reports directly to and receives instructions from the Field Coordinator, who acts as their line manager.
  • Management: Responsible for managing and documenting financial and administration activities as stated in the documentation for each project and other supporting and related activities, to ensure that all components of activity implementation, including human resources, funding, tools and equipment, are integrated and coordinated efficiently and effectively.

Finance and Admin Consultant responsibilities in managing SINTAS finances are as follows:

  • Administration and Reporting: Responsible for the preparation of activity reports, administration and activities under his/her responsibility, along with all related supporting documentation, both in Indonesian and English (as needed), verbal and written, with the following schedule:
    • Daily activity reports verbally or recorded via email as needed.
    • Monthly financial reports and documentation.
    • Quarterly and annual financial reports along with documentation.
    • Trip reports and documentation.
  • Evaluation: Responsible for using data management protocols as guidelines to monitor and evaluate data management workflows and achieve targets in a timely manner.

MAIN RESPONSIBILITY

Financial Support

  • Assist in preparing and managing budgets for field activities.
  • Manage petty cash for daily fieldwork operations and maintain accurate records.
  • Ensure cash disbursements are well-documented and adhere to organizational policies.
  • Collect, verify, and submit receipts and expense reports to the finance department.
  • Ensure all field expenses comply with financial guidelines.
  • Maintain accurate and updated financial records for field operations.

Administrative Support

  • Assist arrange transportation, accommodation, and necessary permits for field staff and field activity.
  • Coordinate schedules and maintain communication between field teams and the main office.
  • Ensure all field documents comply with organizational standards and are properly archived.
  • Responsible on managing logistic and utilities for field team and field activity.
  • Oversee office administration, including communication, filing, and record-keeping.
  • Maintain regular communication with field teams, providing updates on financial matters and addressing any concerns.
  • Maintain relationships with local vendors, suppliers, and other stakeholders,
  • Monitor and respond to any security incidents or emergencies.

DELIVERABLES

  • Tracking and reporting of fieldwork expenses.
  • Monthly or weekly budget updates.
  • Reimbursement report for travel, accommodation, and other field-related expenses as per organizational guidelines.
  • Cash/Petty cash reconciliations.

Please note that the above TOR constitutes only the main responsibilities and duties of this position. As SIF is a flexible organization, staff/consultant members are expected to undertake any other tasks that are allocated to them, which are not part of their regular TOR.

POSITION REQUIREMENT

This Consultan position in SIF and will be based in Bogor, with regular travel to project sites.

The ideal candidate will have:

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field, or A diploma (D3) with relevant work experience may be considered.
  • Preferably has experience in administrative or financial roles, especially involving fieldwork.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint).
  • Experience in nonprofit organizations, community development, or field-based projects is an advantage.
  • Experience in managing petty cash, and simple financial reporting.
  • Understanding of financial and administrative policies and procedures in nonprofit organizations or fieldwork projects.
  • Ability to prioritize tasks and meet deadlines, especially under field conditions.
  • Strong communication skills to liaise effectively with field teams, partners, and external parties.
  • Capable of working in challenging field conditions and adapting to project needs
  • Ability to handle urgent or unexpected situations in the field independently.
  • Ability to collaborate with field teams to achieve shared goals.
