About Good Forest Indonesia

Good Forest Indonesia Foundation (GFI) was officially established on May 12, 2023. However, its dedicated team has been leading reforestation and agroforestry initiatives in Central Kalimantan since 2014, previously operating under Fairventures Worldwide, a non-profit organization based in Stuttgart, Germany. After a decade of impactful operations in Indonesia, Fairventures transitioned full responsibility to the local Indonesian team, enabling GFI to operate independently. Today, GFI continues as the official implementing partner of Fairventures Worldwide.

GFI is committed to restoring ecosystems and empowering local communities through sustainable agroforestry practices. Our team collaborates closely with smallholder farmers to rehabilitate degraded landscapes and improve local livelihoods. Currently, GFI operates in the Gunung Mas, Katingan, Barito Timur, and Pulang Pisau regencies in Central Kalimantan Province, Indonesia. We are seeking an Administration Manager based in Palangka Raya, Central Kalimantan.

The Administration Manager is responsible for overseeing all aspects of financial management and administration within GFI. This role requires strong financial expertise, leadership in administrative functions, and proficiency in QuickBooks software. The Administration Manager will provide sound financial advice, manage funds effectively, and oversee HR, logistics, and procurement functions.

Job/Role Purpose:

The Administration Manager plays a crucial role in ensuring that GFI’s resources are managed efficiently to achieve its operational objectives. The role is responsible for financial management, reporting, and administrative oversight, including logistics, procurement, and human resources (HR). The Administration Manager will collaborate closely with the Director and Program Manager to ensure that financial and administrative activities support GFI’s strategic goals and operational efficiency.

Key duties and responsibilities

Strategic Leadership and Management: 

The Administration Manager will be a member of the Management team and support the Foundation in shaping strategy and planning, implementation of GFI Foundation priorities, Ensure financial and administrative operations align with GFI’s objectives and strategic direction. Support the Director and Program Manager in administrative decision-making and resource management.

Financial planning, Budgeting and Budget control:

The Administration Manager will provide leadership for financial management at the Foundation and ensure proper financial planning and budgeting for Foundation resources, as well as budget controls to ensure that resources of the Foundation are utilised effectively and efficiently to achieve the desired results with available resources.

Accounting and Financial reporting:

The Administration Manager will lead the finance team, ensuring that the Foundation maintains proper accounting processes, including the QuickBooks system and comprehensive financial records. She/he will also support finance team in providing regular financial reports and statements in accordance with the GFI Foundation Charter and the requirements of GFI Foundation funding agreements.

External audits:

The Administration manager will work together with the Finance Manager to provide leadership in coordinating and facilitating all external audits and will support the Director & Program manager to ensure that audit recommendations are followed up and addressed timely.

Logistics & Procurement:

The administration manager will oversee all procurement activities to ensure compliance with GFI policies and donor requirements while ensuring proper planning, sourcing, and purchasing of goods and services essential for operations. Manage supplier relationships, procurement contracts, and inventory control while developing and implementing procurement procedures to enhance efficiency and cost-effectiveness. Additionally, supervise logistics operations, including transportation, supply chain management, and asset tracking, while ensuring adherence to safety regulations and logistical protocols.

HR and Admin:

The administration Manager will supervise the HR/Admin Unit to ensure efficient personnel management and office administration, overseeing recruitment, onboarding, payroll, performance evaluation, and staff development. Ensure compliance with labor laws and GFI’s HR policies while developing and implementing HR policies and training programs to enhance staff capacity. Additionally, foster a positive work environment by promoting staff well-being initiatives and ensuring a supportive and productive workplace culture.

Experience

  • Minimum 5 – 10 years prior experience in a senior management finance position, including at least 5 years with a nonprofit organization
  • Minimum 5- 10 years experience in financial management, in particular in the development, monitoring and reporting on the financial status of the organization and  programs

Required Qualifications  

  • Bachelor’s degree in finance, business, accounting or other relevant field; professional qualification in Accounting desired.
  • Minimum of five years of experience managing finance  for NGO/Foundation .
  • Knowledge of and experience in using  the Quickbook accounting software
  • Proven ability to prepare multi-year budgets, donor financial reports and  audits.
  • Strong analytical, leadership and interpersonal skills; demonstrated ability to lead and work effectively in team situations.
  • Experience as a coach/mentor to train staff and develop financial skills of colleagues.
  • Excellent oral and written communication skills in English.
  • Expert computer skills in  Google drive and Microsoft Office applications, including Word, Excel, PowerPoint.
