- Position Title: Administrative Assistant

Job Summary
The Administrative Assistant is responsible for supporting the HR & Finance teams in all matters related to office administration, procurement, asset management, and related duties.
Additionally, the role includes providing high-quality and professional human resources services through the effective administration of HR systems in accordance with established policies and procedures.
This position initial for 6 months contract
Key Responsibilities
- Collaborate with the Finance and Administration Officer to maintain an up-to-date supplier database for goods and service providers, including preferred and non-approved vendors, as well as maintaining office asset data.
- Monitor office supplies, equipment, office assets, and motorcycles in accordance with internal policies. Coordinate with the Finance Officer for inventory coding and stocktaking.
- Prepare reports detailing stock inventory, item counts, item classifications based on value, and distribution to respective departments or units. Report damaged or expired items and ensure these are documented in the inventory report.
- Support the team in ensuring all recruitment processes are well-facilitated, including recruitment planning, advertising, screening and assessment of candidates, and preparation of employment contracts.
- Coordinate the scheduling of new employee orientations with the respective department managers.
- Assist line managers and staff in the performance evaluation process, including goal setting, coaching and mentoring, and year-end reviews.
- Provide administrative support for all HR-related aspects, including maintaining employee entry and exit data, updating staff status in designated Google Docs, managing contracts, tracking staff leave plans, filing, correspondence, and other related administrative tasks to ensure effectiveness and accuracy.
- Perform other duties as assigned by the line manager.
Qualifications and Experience
- Bachelor’s degree in Business Administration, Business Management, or a related field.
- Experience in implementing and monitoring compliance with asset systems, policies, and procedures, preferably in an international organizations.
- Experience in managing asset inventory
- Proven ability to work effectively in a multicultural environment.
- Proficient in MS Office applications, especially in Microsoft Excel.
