RECOFTC Indonesia is seeking an Assistant Accounts and Administrative Officer for its Lacuna Project. This position is open to Indonesian nationals and offers a 12-month contract. The possibility of extension depends on project funding availability and satisfactory performance.

About the project

RECOFTC Indonesia is implementing the “Advancing Oil Palm Mapping with Social Forestry and Machine Learning” project. Supported and administered by the Meridian Institute, which serves as the Secretariat for the Lacuna Fund, this initiative aims to enhance data accessibility and improve data quality for local communities in key areas across Sumatra and Sulawesi. The project focuses on several communities, including the Betara community in Jambi, the Pelalawan community in Riau and multiple communities near national parks in Sulawesi. Specifically, it targets the Barugae, Cenrana Baru and Rompegading communities near Bantimurung Bulusaraung National Park in South Sulawesi and the Tamalaea community near Gandang Dewata National Park in West Sulawesi. In collaboration with our core partner, Spatial Informatics Groups (SIG), the project will develop comprehensive data sets to enhance understanding and support mitigation efforts related to the impacts of forest conversion, particularly oil palm cultivation, on forests and climate change in Southeast Asia.

Tasks and duties

The Assistant Accounts and Administrative Officer will be a member of the Indonesia team, working under the supervision of the Accounts and Administration Officer. This role is responsible for reviewing expenditure supporting documents, maintaining updated financial and accounting records for RECOFTC Indonesia projects and providing administrative support to the Indonesia team.

Specific tasks and duties include:

  • Review monthly project expenditure documents from the field to ensure they are accurate and complete
  • Monitor expenditures against detailed budget plans for target cantonments and project partners using Excel spreadsheets
  • Maintain financial records for advance payments, follow-up on them and report any long outstanding advances to the Accounts and Administrative Officer
  • Track and report on outstanding invoice settlements related to projects
  • Manage the project petty cash fund in Indonesia Rupiah, conduct monthly expenditure summaries and perform bank reconciliations
  • Reconcile project funds with bank balances each month
  • Assist with internal and external audit processes for RECOFTC Indonesia and its donors
  • Arrange logistics for meetings, workshops and staff travel
  • Procure goods, supplies and services in accordance with RECOFTC, donor and project policies
  • Maintain filing systems and manage project-related mail and official documents
  • Ensure that sufficient office and project supplies are available
  • Perform additional tasks as assigned by the Accounts and Administrative Officer and the project manager

Qualifications and experience

The Assistant Accounts and Administrative Officer should have the following essential qualifications and experience.

Essential

  • Diploma or bachelor’s degree in accounting, finance, business management or related fields
  • Minimum of two years working experience in a similar capacity, preferably in a non-profit organization
  • Familiarity with accounting, labour and auditing regulations in Indonesia
  • Knowledge and experience in systems applications and products for data processing such as SAP
  • Good verbal and written communication skills in English and Bahasa Indonesia
  • Proficiency in Microsoft Office applications
  • Ability to maintain confidentiality
  • People-oriented and results-driven approach
  • Indonesian nationality

Desirable

  • Excellent problem-solving skills
  • Ability to work independently with minimal supervision
  • Experience with donors’ requirements and procedures
  • Strong interpersonal communication skills, both individually and in groups
  • Ability to work effectively as an active team member
