Finance & Administration Assistant

Background

Climate change, energy, natural resource, and environmental issues have been the main global problem that impacts human being and the environment all around the world. To mitigate the risk of adverse impacts in the future, the goals of the development will be toward sustainability. Current progress shows that the optimum speed of changes toward sustainable development goals has not yet been reached. Acceleration, amplification, and partnerships for solutions will be needed to leverage the impact.

IREEM (Institute for Natural Resources, Energy, and Environment Management) is a think-tank organization aiming to contribute as a catalyst for supporting sustainable development goals by focusing its support in the field of energy, natural resources, and environmental management. IREEM is seeking a finance and administration assistance for supporting IREEM’s goal in increasing its contribution and impact toward sustainable development goals.

Responsibilities

Under the direct supervision of the Finance and Procurement Managers of IREEM, the incumbent will support the financial and administration process and to generate reliable, transparent and timely financial and administration information needed by IREEM to manage it’s resources and funds entrusted to it by its donors. This work shall include (but may not necessarily be limited to):

  • Assist in administration and finance matters to ensure an effective management of financial resources according to the IREEM procedure
  • Ensure the compliance of administration, finance and policies and procedure
  • Ensure completeness of supporting documents of payments
  • Assist all procurements and comply with competitive 3 quotes bidding
  • Assist in verify travel expenses report and ensure complete supporting documents
  • Assist in reconcile advance of program staff and claims for completeness and accuracy
  • Control and check list of stationery and ensure has enough stock and ordering office supplies and updating inventory
  • Assist for preparing stationery for event and make a list of statonery needed
  • Maintaining and comfortable office environment, and deal with management office building if needed for service
  • Other tasks as requested by supervisor if needed

Qualification

Minimum of Bachelor’s Degree in finance, accounting, administration

Experience

  • At least 2 years of experience working as a finance and admin assistant in the field of International NGO’S, Foundation  or private sector. Experience working with Government is preferable.

Other Requirements

  • Meticulous attention to detail and ability to perform tasks with accouracy and efficiency.
  • Excellent analytical skills and financial.
  • Good organizational and time-management skills.
  • Strong team player with solid communication skills
  • High levels of integrity and ability to handle confidential information
  • Working knowledge of accounting software, such as Quickbooks
  • Can work with minimal supervision
  • Up-to-date computer skills

Duty Station: Jakarta

Type of Emploment: Contract based
