Context:

Operational in Indonesia for more than 40 years, IOM Indonesia is one of the largest IOM missions in the world working on a wide range of activities in partnership with the Government of Indonesia, civil society, private sector actors, migrants and communities. IOM Indonesia is engaged in several thematic areas, including Counter-Trafficking Labour Migration/Labour Mobility and Social Inclusion (CT-LM/LMSI), Disasters, Climate and Resilience (DCR), Immigration and Border Governance (IBG), Refugee Care, Migration Health, Migration Governance and Resettlement and Voluntary Returns.
IOM aims to constantly enhance the quality of its resettlement activities as part of the Organization’s principled and people-centred programming and in the interest of assisting the people as best we can to provide safe and dignified resettlement process. The resettlement health assessment unit provides essential support to States in resettling refugees and other humanitarian entrance specifically in health assessment and related assistant. IOM’s pre departure health activities as well as health assistance during the travel ensure that refugees’ health needs are addressed prior to departure, that they are fit to travel, and that appropriate arrangements can be made for reception and continuity of care, when needed.
Under the direct supervision of Migration Health Physician, the incumbent will assist in the implementation of the Migration Health Assessments Programme and other migration health related activities in IOM Indonesia. The incumbent is expected to carry out his/her duties in accordance with medico-legal, moral and ethical standards with due respect for gender and socio-cultural differences and human dignity of the migrants.
Responsibilities and Accountabilities
- Provide migrants’ information regarding health assessments by phone;
- Register the migrants in the IOM database, schedule and confirm medical appointments and receive and communicate messages for medical staff and beneficiaries;
- Prepare master lists of migrants scheduled for health assessment processing and submit them to respective service providers / relevant persons as required;
- Maintain daily statistics related to health assessments and update the records; and,
- Contribute to customer satisfaction evaluation management. Reception and Data Entry overall duties:
- Perform all the necessary data processing activities of the Migration Health Assessment Centre (MHAC), such as:
- Receiving and explaining the registration process to applicants;
- Checking applicant’s identity;
- Entering bio-data of the applicants in the appropriate platform;
- Taking photos using webcam and loading the image to the appropriate platform; and,
- Printing of medical forms, consent forms and other necessary documents.
- Receive all completed medical examination forms, x-rays and other documents from Panel Physicians while updating the reception of the same in the database and forward for quality check before clearance, if applicable;
- Prepare, sort and package medical files and other documents during mobile migration health assessment missions where such mobile units are available;
- Transmit completed medical forms, DNA packages and other medical documents either by electronic means or by courier services to the various partners. Ensure correct contacts and physical address are used whenever documents are transmitted by courier services and ensure to inform the receiving party of the parcel tracking number electronically;
- File incoming/outgoing letters, reports, memoranda, emails faxes as well as IOM documents and forms related to IOM medical issues;
- Check, print and make photocopy of bank deposit slips (or other proof of payment). Regularly submit these photocopies to the Administrative/Finance Assistant; and,
- Perform such other duties as may be assigned.
Required Qualifications and Experience
EDUCATION
- University degree, preferably in Statistics, IT, Accounting, Finance, Business Administration, Management, Public Health, Nursing or any relevant field with at least 2 (two) years of experience in health services; or
- Completed minimum High School degree with at least 4 (four) years relevant work experience as above.
EXPERIENCE
- Indonesian National with good knowledge of, and experience in project administration, operational and has knowledge and experience in health services is advantage.
- In-depth use of MS Excell or Access, or database software and applications, data collection, validation and analysis.
- Attention to detail, persistence, and ability to organize paperwork in a methodical way.
- Has experience in accounting, finance and budget tracking as well as office administration; in an international organization or any client/service sector, preferably with cross-cultural exposure.
- Maintains confidentiality and discretion in appropriate areas of work.
Languages
IOM’s official languages are English, French, and Spanish.
For this position, fluency in English and Bahasa Indonesia is required (oral and written).
