Context:
Operational in Indonesia for more than 40 years, IOM Indonesia is one of IOM’s large missions in the world working on a wide range of activities in partnership with the Government of Indonesia, civil society, private sector actors, migrants and communities. IOM Indonesia is engaged in several thematic areas, including: Counter-Trafficking Labour Migration/Labour Mobility and Social Inclusion (CT-LM/LMSI), Disasters, Climate and Resilience (DCR), Immigration and Border Governance (IBG), Refugee Care, Migration Health, Migration Policy and Data Hub, and Resettlement and Voluntary Returns.
The Resources Management Unit will contribute to the monitoring and supporting the budgetary financial, human resources and other administrative functions to ensure quality, effective and efficient resources management of the Country Office.
Under the guidance and direct supervision of National HR Officer, the incumbent will provide assistance in human resources administrative activities for IOM Mission in Indonesia. S/he will be working in close coordination with all HR team and DRM unit in the Mission.
Responsibilities and Accountabilities:
- Under the guidance of National HR officer, get familiar with IOM Human Resources policy and become familiar with IOM Indonesia programmes in Indonesia and the nature of UN agencies work.
- Working with HR Clerk Database Management to gain experience in managing and maintaining electronic staff personnel of national staff, consultants/interns according to IOM policy;
- Working with HR Assistant I to learn in the recruitment process of national staffs within IOM;
- Supporting HR Clerk to gain experience in processing the recruitment process of non staff position including verify education and conducting clearance;
- Working with HR Clerk (Database Management) to gain experience in managing administration of the Human Resources unit;
- Working with National HR Officer and HR Clerk to learn using database in processing the data for Staffing Movement and Staff Count Records;
- Working with all HR team to gain experience in HR process within IOM;
- Perform such other duties as may be assigned.
Required Qualifications and Experience
Education
- Applicants enrolled in the final academic year of a first university degree programme (minimum under-graduate school) in Economy Management, Human Resources, Business Administration, or others at the of application of internship;
- And/or applicants who are enrolled in a second university degree (graduate school/ equivalent); or have graduated with a university degree within one year of graduation.
Experience
Previous voluntary experience in university organization will be an advantage.
Skills
- Strong administration skill and attention to detail;
- Ability to write clear and concise reports;
- Technology savvy, advance level of Microsoft Offices particularly Outlook, Word, Excel are required.
Languages
Proficient in English and Bahasa Indonesia, both written and spoken.
