As The Grant Officer provides services in public award administration, including reporting to a department or business unit. This position administers and maintains public award administration in accordance with YKAN policies and procedures and best practices. The Grant Officer provides assistance to staff and responds to questions and problems based on knowledge of the subject area.
The Grant Officer is expected to provide valid, relevant and accurate grant information on a timely basis to support transactions for YKAN Indonesia Oceans Program (IOP), particularly for selected activities being implemented under the Blue Action Fund (BAF) Project, throughout the grant implementation period from 1 Dec 2020 and shall expire on 31 May 2025 in Bird’s Head Seascape area. This project funded by Blue Action Fund with match requirement from several Private Foundation and individual donor.
This position is directly responsible for all administrative aspects of grants out to grantee organizations, including assistance with due diligence activities, preparation and revision of agreements, review of invoices and financial reports, and maintenance of grant files. Works closely with the Award Manager, BHS Senior Manager and Sustainable Livelihood Coordinator to ensure that the terms and conditions of agreements with the third parties under BAF-supported project are met and properly documented and communicates directly with partners to clarify or negotiate financial and administrative requirements.
DELIVERABLES:
- Administration of full cycle of sub-award management activities are prepared properly and timely as scheduled.
- Established and maintained grant funding flows tracking system, monthly, quarterly, annually.
- Invoices are prepared and processed timely based on the agreed timeline established by the Jakarta office.
- Payments are tracked to ensure compliance with YKAN and donor SOP.
- Contractual issues/problems/dispute arising from sub-grants and sub-awards are resolved and documented.
- All transactions processed with complete supporting documents and approvals – ready for audit.
- Regular reports are provided to Finance Manager and Award Manager.
- Maintain filling system and storage for program file for YKAN Indonesia Oceans Program, particularly for BAF-supported project.
- Ready to giving support for any additional necessary task that related with this position.
