The Australian Consortium for ‘In-Country’ Indonesian Studies (ACICIS) is an innovative, non-profit, educational consortium that was established in 1994 to develop and coordinate high-quality, semester-long study programs at Indonesian partner universities for Australian university students. ACICIS is the longest running provider of in-country Indonesian study programs for Australian university students and the primary mechanism through which Australian students pursue study in Indonesia for academic credit. From small beginnings as a facilitator of accredited in-country Indonesian language study, ACICIS program offerings have grown to include both semester-long and short format programs in a wide range of disciplines including journalism, development studies, business and commerce, and international relations. The ACICIS consortium currently counts among its membership twenty-one Australian universities as well as overseas centres-of-excellence in the field of Indonesian and Southeast Asian Studies such as Leiden University in the Netherlands and SOAS University of London in the UK. The consortium’s national secretariat is currently hosted by The University of Western Australia in Perth.

In Indonesia ACICIS operates through a not-for-profit foundation known as Yayasan ACICIS Studi Indonesia (The ACICIS Foundation). The Foundation currently employs more than 25 full-time staff in Indonesia in offices located in Yogyakarta, Jakarta, Bogor and Bandung. 

A position has become available within The Australian Consortium for ‘In-Country’ Indonesian Studies (Acicis) for the Bandung Office for a Program Assistant (PA). This position would suit a graduate of a local or Australian university.

Please note this position is open to Indonesian nationals (WNI) only.

Position Description

This is an entry-level position and would suit a recent graduate of an Indonesian or Australian university. The PA reports directly to the Acicis Program Manager (PM) and also to Acicis’ Resident Director (RD).

The position is based in Bandung with frequent travel to Jakarta for training, coordination and if needed, assistance with Jakarta programs. Duties to be performed by the Program Assistant include, but are not limited to:

  • The planning of program events in Bandung including orientation, excursions and other activities as directed by the PM or RD;
  • Acting as a liaison with Universitas Parahyangan (UNPAR) Bandung;
  • Assisting Acicis International Relations Program (IRP) and West Java Field Study (WJFS) students to complete registration/enrolment for classes;
  • Organising a regular weekly meeting (‘catch-ups’) with the students, individually or in a group, to monitor academic/non-academic progress/issues and report to PM;
  • Conducting end of program evaluation sessions with participants and related stakeholders and offering this information as feedback into the ongoing development and improvement of Acicis programs;
  • Counselling students on matters of adjustment to Indonesian life, including attention to physical adjustment, Indonesian norms of behaviour and expectations regarding dress and use of appropriate language;
  • Assisting the PM in assisting students in routine and/or emergency medical or security procedures;
  • Assisting the PM or RD with other tasks when called upon to do so from time to time.

Working Hours and Remuneration

  • This position is based in Bandung and is offered as a one-year contract starting 16 Juni 2025 – 30 Juni 2026.
  • This role is full-time and working from the Bandung office (offline), 40 hours per week, with the understanding that the scheduling of program events means that the distribution of hours over the period of a week may be flexible. Standard work hours are 9am-5pm, Monday to Friday, with a one-hour lunch break. Occasional out-of-hours’ work will be required during orientation sessions and extra-curricular activities or tour implementation, and will be compensated through leave in lieu;
  • The PA role will be remunerated at a competitive rate, or commensurate with the applicant’s skills and experience.

Selection Criteria:

  • Completed Bachelor’s Degree from a reputable university with a sound academic record;
  • Professional level of English proficiency, and a willingness to develop this further as a part of the role;
  • Computer literacy in using the Microsoft Office suite, social media applications; and Photoshop/ InDesign (desirable);
  • Excellent time management skills and the ability to prioritize a range of tasks;
  • Demonstrated cross-cultural communication skills and a willingness to learn about new cultures;
  • Current class A or C driver’s license (SIM) and access to a car or a motorbike (desirable);
  • A team-player with a pleasant personality;
  • Ability to work independently with minimal supervision;
  • Ability to travel, work remotely and/ or relocate to other work locations.
