We are currently seeking a qualified and motivated candidate for the following position:

  • Job Title: Procurement and Admin Officer
  • Reports to: Operations Manager
  • Location: Jakarta, Indonesia

Main Responsibilities

Under the supervision of the Operations Manager, the Procurement and Admin Officer will be responsible for ensuring effective and efficient procurement and administrative support across the organization, including for project-based needs.

Key duties include:

  • Support the development and implementation of procurement documentation, plans, and schedules.

  • Contribute to the continuous improvement of procurement procedures to ensure efficiency and relevance.

  • Assist in the preparation of procurement plans and schedules in coordination with the Operations Manager.

  • Draft and/or evaluate scopes of work, technical specifications, bidding documents, evaluation criteria, negotiation strategies, evaluation reports, and purchase recommendations.
  • Assist in the evaluation of vendor proposals and contribute to the development of evaluation methodologies.

  • Provide basic procurement guidance and support to internal staff.

  • Build and maintain positive relationships with suppliers and internal stakeholders.

  • Ensure regular feedback is collected to improve procurement services and client satisfaction.
  • Maintain a comprehensive and up-to-date vendor and contract database.

  • Support the management of the vendor roster, including annual updates and verifications.

  • Perform other administrative or procurement-related tasks as assigned by the supervisor.

Qualifications

  • Bachelor’s degree in Procurement and Supply Chain Management, Business Administration, Logistics, Public Administration, or a related field.

  • 2–5 years of relevant work experience in procurement, logistics, or administration.
  • Solid knowledge of procurement regulations, contract negotiation, and vendor management.
  • Experience with inventory and asset management systems.

  • Proven ability to work both independently and in team-based environments.

Competencies

  • Strong negotiation and communication skills with the ability to work cross-functionally and collaboratively.

  • Solid understanding of procurement procedures and administrative systems.

  • Demonstrated experience in managing procurement tools and systems.
  • Experience working in multicultural and cross-functional teams; background in a support function is an advantage.
  • High interpersonal and conflict-resolution skills, with a collaborative and positive team approach.
  • High level of integrity and discretion in handling sensitive information.

  • Ability to multitask and manage competing priorities under pressure.

  • Proficiency in written and spoken English.
