PROGRAM ASSISTANT
A few positions have become available within The Australian Consortium for ‘In-Country’ Indonesian Studies (ACICIS) for the Jakarta and Yogyakarta Office for a Program Assistant (PA). This position would suit a graduate of a local or Australian university.
Please note this position is open to Indonesian nationals (WNI) only.
Position Description
This is a position who would suit a graduate of an Indonesian or Australian university. The PA will mainly be assisting the ACICIS Program Coordinator/ Manager. The PA reports directly to the Program Coordinator (PC), and then the Project Development Manager (PDM). Duties to be performed by the PA include, but are not limited to:
- Serving as a liaison with universities and other partner organisations in Indonesia and maintaining sound relationships with key personnel at these institutions in assisting with ACICIS programs;
- Assisting the PC for Tours in managing tours administrative materials for the pre-departure phase and implementation of tour programs;
- Assisting the PC in program logistics such as booking accommodation, transportation, meals etc for ACICIS program;
- Actively involved in all program delivery components including seminars, field visits, cultural excursion, and other activities on the itinerary or as directed by PC;
- Counselling students on matters of adjustment to Indonesian life, including attention to physical adjustment, Indonesian norms of behaviour and expectations regarding dress code and behaviour during their programs;
- Actively mentoring all students on matters pertaining to their program, and advising on appropriate conduct in Indonesia;
- Conducting end of program evaluation sessions and offering this information as feedback into the ongoing development and improvement of ACICIS’ programs;
- Assisting students in routine and/or emergency medical or security procedures as required;
- Assisting Perth Secretariat with immigration and visa document support;
- Assisting the PC, PDM and RD with other tasks as required.
Working Hours and Remuneration
- This position is based in Jakarta and Yogyakarta and is offered as a six-month contract starting 1 September 2024 – 28 February 2025.
- This role is full-time, 40 hours per week, with the understanding that the scheduling of program events means that the distribution of hours over the period of a week may be flexible. Standard work hours are 9am-5pm, Monday to Friday, with a one-hour lunch break. Occasional out-of-hours’ work will be required during orientation sessions and extra-curricular activities or tour implementation, and will be compensated through
leave in lieu; - The PA role will be remunerated at a competitive rate, or commensurate with the applicant’s skills and experience.
Selection Criteria:
- Bachelor’s Degree (S1) from an Indonesian or Australian university with a sound academic record;
- Fresh graduate or up to 2 (two) years of professional experience in a similar position;
- Professional level of English proficiency, and a willingness to develop this further as a part of the role;
- Computer literacy in using the Microsoft Office suite, video conferencing platforms, cloud services, social media applications; and Photoshop/ InDesign (desirable);
- Excellent time management skills and the ability to prioritise a range of competing tasks;
- Demonstrated sound cross-cultural, professional communication skills in written and oral, and a willingness to learn about new cultures;
- A team player with a pleasant personality who can work well in flexible working environments.
