YAYASAN FORTASBI INDONESIA
FORTASBI (Indonesian Sustainable Palm Oil Farmers Forum) is a forum initiated by several NGOs and oil palm farmer organizations in Indonesia on 14 August 2014 in Jambi and as a forum to increase the capacity of independent oil palm farmers towards sustainable certification. This idea was built with the hope that there would be a forum that would become a vehicle for discussion for independent farmers in Indonesia and NGOs to jointly promote sustainable palm oil, whether through the RSPO (Roundtable on Sustainable Palm Oil), ISPO (Indonesia Sustainable Palm Oil) schemes and even ISCC (International Sustainability and Carbon Certification).
FORTASBI is also expected to be a place of learning for independent farmers to increase the capacity of independent farmers, both those who have received sustainability certificates and those who already have a commitment and are in the process of becoming certified.
FINANCE AND ADMINISTRATION ASSISTANT
RESPONSIBILITIES AND TASKS
Financial Management:
- Assist Finance Officer in performing financial management of the Foundation, that there are no differences in the nominal or nominal accuracy of each incoming invoice or bill, including the Advance Application Form Assist Finance Officer in performing financial management of the Foundation, including check and monitor the completeness of supporting documents of payment requests, including checking with internal regulations.
- Assist Finance Officer and Finance Manager to check every reimbursement and Travel Expense Report from Staff and/or Consultants;
- Assist Finance Officer to create weekly payment;
- Assist Finance Officer to create financial voucher;
- Ensure all the financial documents are stored, filled properly, and easy to track.
Office Management:
Responsible for managing and recording petty cash transactions, including:
- Handling petty cash for office purpose (supplies, stationary and others)
- Preparing monthly PC reconciliation
- Regularly conduct cash count & count cycle
- Ensure complete document of all disbursement
- Coordinate with Program Admin about all logistics and administrative arrangements, including arranging business travel needs for staffs, workshops or meetings, including for Donors or other third parties, including flights, accommodation, other transportation, meeting rooms and others;
- Create contracts or other employment agreements for new Staffs or Consultants and Official Letters;
- Manage the database (including staff, vendor, official letter, contracts number and other related documents) and Office Administration (including paid leave) and update it periodically;
Communication and Coordination:
- Communicate and coordinate with All Staff on financial issues
- Communicate and coordinate with All Staff and Finance Officer also Finance Manager on financial related issues of operations, such as payment to consultants, suppliers and vendor, salaries and BPJS Ketenagakerjaan request for payment, etc.
REQUIREMENTS AND EXPERIENCE
- Diploma or degree in Administration and/or Economics;
- Expected to have at least two years’ experience, preferably in NGO (Non Government Organization), fresh graduate are welcome to apply
- Basic knowledge of MS Office applications;
- Experience in preparing the financial statements/reports;
- Able to manage petty cash and financial transactions;
- Good communication skill in both spoken and written Bahasa Indonesia and English;

- Ability to work in a team and/or independently with minimum supervision and to handle multitasking work;
- High standards of integrity, professionalism, personal discipline and impartiality;
- Having the understanding of finance work ethic/ finance regulation;
- Strong interpersonal skills and ability to collaborate to collectively solve problems and make progress;
- Ability to work in a multicultural.
