SUMMARY OF THE PROJECT
Australia and ASEAN have a long history of development cooperation which will be continued by the upcoming Aus4ASEAN program. This new program will be demand-driven, agile, and responsive to the priorities of ASEAN in support of the integration of the ASEAN Economic Community whilst integrating significant reforms to enhance capability and impact. This includes strengthening the technical capability of the program; improving financial management; building in greater gender equality, disability, and social inclusion (GEDSI) and monitoring, evaluation, and learning (M&E) capabilities; strengthening communication of the program’s achievements; and better aligning the regional program with bilateral investments to maximize value and impact.
SUMMARY OF THE POSITION
Reporting to the program leadership, the Travel and Logistics Coordinator will support and manage travel and logistics support as part of program activities. They will assist in event management, travel and deployment, and support services including identifying and engaging with suppliers and providers. They will facilitate the deployment of program stakeholders, experts, and staff throughout the ASEAN region and serve as a focal point for travel and logistics management and coordination.
KEY RESPONSIBILITIES
The Travel and Logistics Coordinator will:
- Lead on the deployment of personnel as part of program activities;
- Support the engagement of support services for travel related to the program (translation, accommodation, transportation, etc.);
- Assist in the management of event and workshop logistics, including remote and online;
- Support the identification of vendors and suppliers, including maintaining pools and panels of service providers;
- Support the contracting of travel and logistics services;
- Work with the program team to develop processes and mechanisms to facilitate rapid deployment of services and personnel;
JOB REQUIREMENTS Education:
- Degree in program management, travel services, or other related field.
Minimum Experience:
- Minimum of 3-5 years of progressive experience in travel and logistics service provision
Essential Skills:
- Results-focused and team-oriented;
- Ability to handle responsibility in a fast-paced environment;
- Able to work collaboratively with suppliers and vendors;
- Ability to support and solve challenges that emerge in travel and logistics;
- Takes initiative to identify and anticipate client needs and make recommendations for implementation;
- Experience in the establishment and management of administrative and reporting processes and procedures;
- Management of relevant tendering, contract, and procurement processes;
- Demonstrated ability to effectively broker, collaborate, and build positive working relationships with a variety of stakeholders to achieve agreed deliverables and performance objectives;
- Ability to work under pressure and manage competing priorities within a dynamic environment;
Language Proficiency:
- Ability to communicate effectively in Bahasa Indonesia and English
Employment Conditions:
- To be based full-time in Jakarta, Indonesia
